Bring one strong call, one call with a fixable miss, and the representative’s own view of the difficult moment. Start with the customer outcome, then discuss the decision point rather than making the conversation a general rating.
End with one behavior to practice, one example to review, and a date for checking progress. If the issue is caused by an unclear policy, missing system permission, or queue design, record that owner separately from the coaching action.
Keep the record concise and factual. A useful note helps the next supervisor understand the agreed practice without turning a coaching conversation into a permanent label.
