Use sincere, bounded apology language that acknowledges the experience without admitting facts or remedies outside the representative’s authority.
An apology should acknowledge the customer’s experience and the effort required to seek help. It should not substitute for finding out what happened or promise a remedy before the authorized owner has decided.
Pair the acknowledgement with a concrete next step: review the record, correct an approved error, arrange a callback, or escalate the decision. Tell the customer who owns that step and when an update is expected.
Review complaint calls for tone, accuracy, and follow-through. The quality standard is not a perfect phrase; it is a respectful conversation that leaves the customer with an honest path forward.
