A safe attachment-opening rule for offshore call center agents
Verify the source, use approved systems, and escalate suspicious files without exposing customer or company data.
Agents should open attachments only when the workflow expects the file, the source is sufficiently verified under policy, and the approved system has made it available for review. An urgent subject line does not relax that rule.
Check the file type, stated purpose, case relationship, and system warning before opening it. Do not download customer files to a personal device or move them into general chat for convenience.
If the file is unexpected, blocked, password protected, or suspicious, preserve the message and use the security or specialist route. The agent should tell the customer what safe submission option is available without accusing them of causing a threat.
Review blocked files, false alarms, handling time, and routing outcomes separately. The goal is consistent safe treatment, not pressure to open more files or close alerts quickly.
