Recording supervisor approval so a call center action is traceable
Preserve the decision, scope, time, and approver without turning chat history into the system of record.
An approval record should identify the requested action, the relevant policy or exception, the person authorized to decide, the decision, and when it was made. The scope matters because approval for one credit or disclosure does not cover a later action.
Put the result in the approved case or decision field. A chat message can support a live consultation, but teammates should not have to search a private conversation to learn whether the customer request was approved.
If the answer is conditional, record the condition in plain language and verify it before acting. If no authorized approver is available, follow the pending or escalation route rather than treating silence as consent.
Audit approvals for valid authority, complete scope, action taken, and customer communication. High approval volume may reflect policy design or queue mix, so it should not be treated as agent performance by itself.
