A practical spelling-confirmation routine for call center agents

Confirm names and addresses without making the customer restart the conversation.

Names, street details, and email addresses often sound clear until another agent tries to use them. Ask the customer which field needs exact spelling, repeat it in short groups, and pause after each group. Use the approved phonetic words when two letters sound alike.

Read the completed field back in its natural form rather than as one long string. For an email address, distinguish letters, numbers, dots, hyphens, and the domain. For a postal address, keep apartment or unit information in the designated field.

Confirmation is not permission to collect extra information. Capture only what the workflow requires, store it in the approved system, and follow identity controls before changing an existing customer record.

Quality review should separate an agent mishearing the customer from a system validation error or an outdated source record. Those problems need different corrections and coaching.
