A brief should state why the customer called, what was verified, what action was attempted, the decision requested, and the customer-facing promise already made. Keep facts separate from the representative’s interpretation.
Attach only the evidence needed for the decision and point to the relevant record. Include privacy or urgency flags through the approved fields rather than copying sensitive details into a broad message.
Require the specialist to accept, return, or resolve the brief with a clear next owner. Review returned cases for missing information and improve the intake fields when the same gap appears repeatedly.
