Following up after a call center appointment no-show
Check what happened, preserve customer choice, and return the booking to a clear owner.
Start with the appointment record and the approved contact preference. Confirm the service, scheduled date and zone, reminder status, and whether the provider or customer was recorded as unavailable.
The follow-up should offer the permitted next options without blaming the customer or assuming why the appointment was missed. If a fee, eligibility change, or exception may apply, route that decision to the authorized owner.
Record the contact attempt, channel, outcome, new preference, rescheduled slot if accepted, and any unresolved decision. Do not mark the matter resolved simply because a voicemail or automated message was sent.
Review no-shows alongside reminder delivery, scheduling errors, provider availability, accessibility needs, and time-zone mistakes. Those causes require different operational changes.
