Confirm the appointment and the caller’s authority before changing the record. Ask whether the customer wants to cancel, move, or receive a follow-up, and repeat the resulting date or status in plain language.

Separate the calendar action from any policy decision about deposits, eligibility, or exceptions. The support role can record the request and route an approval without guessing at a rule that belongs to a manager.

Send the permitted confirmation through the approved channel and record the customer’s next step. Review no-shows and repeated cancellations for scheduling or reminder problems rather than assuming the customer simply forgot.
