Classify the issues that genuinely need after-hours attention and distinguish them from requests that can wait for the next staffed window. Each urgent category needs a contact path, response expectation, and named decision owner.

Give representatives an approved message for cases that cannot receive an immediate decision. The message should explain what was recorded, what happens next, and what the customer should do if the situation becomes more urgent.

Test the route outside ordinary meeting hours. Check that the contact list is current, the receiving owner can access the minimum record, and the case returns to the normal queue with context intact.
